By accessing or using this website, booking any travel products or services on this website, or contacting our call center agents, you agree to abide by the Terms of Use in effect at that time. If you disagree with the Terms of Use, please refrain from using or making bookings through this website or our call center agents. Epeak Expedition reserves the right to modify these Terms of Use at any time, and your continued use of this website is contingent upon your acceptance of the updated Terms of Use.

The services provided by Epeak Expedition, as outlined below, are available only to customers who have read these General Terms and Conditions and accepted them unconditionally by selecting the appropriate checkbox for this purpose. Acceptance is required to proceed with the booking process. Customers commit to fulfilling the obligations outlined in these terms and conditions. The contract between the Customer and Epeak Expedition becomes effective as soon as Epeak Expedition sends written confirmation of a booking to the customer via email.

Customers are considered to have read, understood, and accepted the following and should save and/or print a copy of these terms and conditions for future reference when making a booking.

To book a trip with Epeak Expedition Pvt. Ltd., clients must undergo various procedures. The term "Trip" on the website encompasses all itineraries designed for various packages, including trekking, tours, sightseeing, hikes, expeditions, and others.

To confirm your booking with Epeak Expeditions Pvt. Ltd., you must complete the Booking Application Form and send it to us. Additionally, a non-refundable deposit of 20% of the total trip cost must be paid in advance. However, for trips to Tibet, a 50% advance payment of the total cost is required. The remaining balance of 80% (50% for trips to Tibet) is due upon arrival in Kathmandu before the commencement of the trip. The remaining documents will be provided to you after the entire process is completed and the company has received the full payment for the trip.

Travelers must carry a valid passport and the necessary visas for the countries they are visiting. We advise our clients to ensure that their passports are valid for at least 6 months beyond the total duration of their trip. The company will not be liable if travelers are denied entry into the country or returned due to negligence regarding visa documentation and passports.

We require a copy of your insurance documentation as proof prior to the trip. If you are unable to provide us with the insurance certificate for any reason, you will be asked to make a suitable policy/agreement at that time. However, if you are unable to do so due to circumstantial issues, you will be prohibited from continuing your trip, and you will not be entitled to any refund for services not provided.

The company offers two secure and practical payment options: Bank Transfer and Credit Cards (Master/Visa/American Express/Union Pay/JCB/SCT Card). The client must clearly indicate the payment method and provide the company with all necessary details about the Credit Card while completing the Booking Application Form. However, the remaining balance (80% for Nepal trips and 50% for Tibet trips) must be paid in cash to the company before departing for the trip from Kathmandu.

All payments made via Credit Card are subject to a 4% surcharge. Surcharges apply to all payments, including deposits, final balances, trip extensions, and miscellaneous purchases. Please note that this charge is imposed by the credit card payment service provider (i.e., the Name of the Bank) and not by the company. These charges benefit the customer as they provide consumer protection for the services purchased, in accordance with the terms and conditions related to the credit card being used.

Please be aware that we are not responsible for any delays or losses during the transfer process. If, for any reason, such as the use of a mediator bank or other factors, the amount received by us is less than the amount sent, you are requested upon arrival to pay the difference so that the total matches the product cost.

Note: For trip extensions of 10 days or more, clients will be charged an additional cost of USD 100 to USD 200, respectively. However, this additional charge is only for a single supplement, and an additional USD 250 will be charged for climbing/expeditions.

Firstly, please note that all amendment conditions apply only to the trips listed on this site. Below are some points to consider regarding amendment fees in case of any changes before, during, or after booking:

If the company receives a request for booking amendments at least 60 days prior to the trip, a fee of USD 50 per person is charged to the customer. However, if the customer requests a booking amendment less than 60 days before the trip departure, the charges will be as per the cancellation policy mentioned below.

In case of any changes in the price of the trip during the booking and amendment process, the new cost will be applied. Please note that these changes may not be initiated by the company but can be imposed by third parties, such as hotels or service providers working with the company.

Any changes, amendments, or additions to the trips you have booked, such as hotels, transfers, additional days, etc., will result in an additional administration fee of USD 20 per booking per change. These additional charges are imposed by hotels, ground operators, or airlines and not by the company.

Please note that amendments will not be made within 10 days of the original departure of the trip. However, if changes are to be made (although rare), a minimum fee of USD 50 or more will be charged.

All travelers under the age of sixteen must be accompanied by a legal guardian. If you have any questions regarding age and suitability, please contact us for further information.

You agree that Epeak Expedition Pvt. Ltd. may use images of you taken during the trip without recourse to you and without compensation, for publicity and promotion purposes only through any medium it chooses.

The Company requires a well-documented medical certificate from a valid medical institution before departing for the trip. We need to ensure the well-being and health condition of the traveler. The Company must be informed about any medical issues or conditions at the time of booking. The company will not be responsible for any mishaps and will not bear the medical and evacuation expenses on behalf of the participant. Therefore, we request our clients to consult their doctors for a thorough checkup and vaccination before booking a trip with us. If necessary, a client can also request additional services from the Company regarding the length of the trip or stay in the country of their travel.

Clients should be well aware of the unpredictability of weather conditions in mountainous regions. Unfavorable weather conditions, especially in the Everest, Jomsom, and Kanchenjunga regions, can sometimes lead to circumstances that include the delay or cancellation of flights. The Company will cover the expenses of accommodations and food in the departing location until the arrangement of flights is completed. However, the Company reserves every right to reroute the original trip or transportation in favor of the situation without any additional cost. Please note that the company will not be responsible for any missed international flights, losses caused by Altitude Sickness, or any other unpredictable circumstances, and the participants will have to pay all the charges incurred. Nonetheless, the Company will assist and help you make the necessary alternative arrangements, but the additional charge will be covered by the customers themselves.

Despite stating every condition and information about the trips on the website and brochures of the Company, we will not be responsible for unforeseeable situations that may arise before or during the trips. The Company will, however, make its best effort to provide prior notice about it and adopt alternate strategies to deal with it. These booking conditions may only be waived in special circumstances, and in writing, by a letter from the Chief of the Company. Note that all legal agreements established and signed between the client and the Company are subject to and governed by Nepalese law.

The company holds no responsibility for the voluntary withdrawal or cancellation of the trip by the customer themselves; hence, the amount paid to the company will not be refunded after the trip has begun.

If a client cancels or postpones their booked trip for any reason, their deposits remain valid until they are ready for the trip. Alternatively, they can transfer the booked trip to others. The Company will not be responsible for refunding any amount if the trip is canceled or postponed due to the client's personal reasons or any unfortunate circumstances.

If during the trip, any services such as accommodation, sightseeing, meals, transportation, etc., included in the itinerary/trip are not used by the customer, no refunds or reuse will be provided for whatever portion remains unused on the trip. The company will use its discretion in setting the conditions for the refunds; therefore, some of the conditions mentioned are subject to change. The company reserves every right to cancel the trips booked by the customers before they are guaranteed to run or before an official agreement is signed. A trip is guaranteed to run once it has one fully paid traveler unless minimum numbers state otherwise.

Unfortunate circumstances such as unforeseen natural disasters, canceled flights, strikes, industrial action, wars, riots, quarantine, government intervention, weather, deteriorating health conditions of a group member, etc., could lead to the cancellation of trips. The company will require written notice in case of any cancellation. Please ensure that the date of trip cancellation is the date on which the written cancellation is received by the company. If you cancel the trip a month prior to the departure date of the actual trip, 100% of the total cost is reusable for a year. Likewise, you can reuse 100%, 80%, and 50% of the total charged amount if the company receives a cancellation notice a month, 15 days, and 7 days, respectively, prior to the departure date of the actual expedition.

Note: All the Terms and Conditions mentioned are prepared as per the laws of the Government of Nepal and are governed by them. Therefore, only the head of the Company has the authority to intervene and make any amendments.
